Creating eCenter Accounts
Access to most eCenter tools and services requires an eCenter account that is associated with the franchise owner, staff or teacher information entered into an individual center’s LCOS. Here are directions for entering or updating such staff information into LCOS, and creating related eCenter accounts.
NOTE: When any staff member, including teachers and other part- and full-time staff, leaves employment with your center, make sure to mark her inactive in LCOS by unchecking ‘Active Employee’ on the ‘Demographics’ tab under the ‘Staff Names/Address’ program on the ‘Personnel’ menu. Otherwise, she will still have access to student data in eCenter if you have given her an account by using the below process. Secondly, change the center account password, by using the change password feature on the SharePoint home page.
Steps
Perform these steps on the LCOS server machine at your center. This is the main PC that has the LCOS database on it that you backup daily. If you need to use a client PC instead, contact IT via the help desk to request a client LCOS update for this purpose.
- Enter or update staff information in LCOS for each eCenter user. If the same employee works at multiple centers, this must be done at each of those centers, as each eCenter account only allows access to one center’s records.
- In LCOS, go to the Personnel menu, and click the Staff option.
- Select a staff member in the list to the left. If the staff member is not listed, use the new button to add a staff member.
- Once the staff member is selected, click on the “Position” tab.
- In the column labeled “Position”, click on the drop down list to select a position code for the staff member. Only standard position codes, indicated with a red asterisk, are eligible to have eCenter accounts.

- Before leaving the “Position” tab, make sure that the “Start Date” field is filled in with a value that is today or prior, and that the end date field is blank. eCenter uses this to confirm the staff member’s current position.
- Go to the “Demographics” tab, and make sure “Active Employee” is checked. Only staff members with this check will be able to access eCenter.
- Click “Save” to update the changes made to the staff member’s record.
- Repeat the above steps for each staff member.
- Generate eCenter login credentials for each eCenter user:
- In LCOS, go to the Personnel menu Staff option.
- Select a staff member, and click on the “eCenter” tab. You may need to click on the right arrow at the end of the tab list to scroll over to access the “eCenter” tab.
- Click on the “Generate Temporary Username and Password” button. The system will generate a time-sensitive username and password for this staff member.
- Click on save. When the information is saved by the system, LCOS displays a PIN that is appended to the end of the password to allow first-time access. You can print the username and password by clicking the “Print” button. You cannot print the PIN, which for security purposes should be communicated verbally to the staff member and remembered by the staff member for their first eCenter login.
If the user does not initially login before the expiration of the PIN, a new PIN can be generated using the same method.
- Repeat the above steps for each staff member.

- Initial eCenter login of each user. When a staff member is logging in for the first time, she does the following:
- Enters the temporary username provided by LCOS in the username field.
- Enters both the password and the pin provided by LCOS in the password field, with no spaces. For example, if the password is ‘mskrkt’ and the PIN ‘0204’, she enters ‘mskrkt0204’ in the password field.
- Creates a new username and password as prompted.
- Usernames can be any combination of letters and number and are unique, though it is recommended that the user employ a last name + first initial format for the username to be consistent with other Huntington logins, e.g. “smitht”.
- Passwords must be at least six characters long, have one letter and one number, and are case sensitive.
- Answers security questions as prompted. The user is required to select and answer three security questions, which are used to validate the user in case of a forgotten password. The responses to these questions are also case sensitive.
- Once this initial login process is done, the user can use the new username and password going forward, and discard the temporary username, password and PIN.
